Craft Fair Vendor Important Details

Access Time 

  • The doors will be open beginning at 7am for you to unload your items. If you do not need two hours to set up your booth, please consider arriving at 7:30 or even 8am so we can avoid a bottleneck at the entrances.

  • Check-In runs from 7am to 9am. Vendors can check in as they enter Door 19 or in the lobby outside of the gyms.

  • Doors are open to the public 9am to 3pm.

 

Unloading

  • Please review this map before arriving. 

  • ​There are three access points. Please note the details of each one to determine which one might be best for you.

    • For vendors in the WEST GYM who need a ramp, please use Door 19, aka the Activities door, on the west side of the building to unload.

    • For vendors in the WEST GYM who can use stairs, you may enter the gym directly through the side door north of Door 19. Due to the stairs, we do not recommend using this entrance if you have a cart or wagon.

    • For vendors in the EAST GYM, you may enter the bus loop off of Jewell. This access point does not have any steps. West gym vendors may also use this door but will have to walk through the East gym to access the West gym.

  • Regardless of where you unload, we ask that you park your vehicle in one of the designated vendor parking areas as shown on the map. The parking lot outside of Door 19 is not very large and if all our vendors and staff park there, there is very little room for customers. (If you require handicapped parking or have circumstances that would preclude you from parking in the vendor parking area, please contact us at president@overlandptco.org.)

  • In order to ensure access for all our vendors, we ask that you unload, then park your car before going back in to set up your booth. If you are concerned about leaving your things unattended, one of our student volunteers will be happy to assist.

  • The school does not have carts for vendor use, please bring your own equipment.

Volunteers

  • We will have student volunteers to help you unload and load your cars.

  • Please do not tip them - they are being paid for their help.

  • Consider making a donation to the PTCO to show your appreciation.

 

Tables, Chairs, and Electrical Access Must be Reserved in Advance through our Shop

  • If you do not have your own table(s) or chair(s) you may "rent" them from us.  

    • We do not supply tables or chairs unless you have reserved them in advance.

    • Reserved tables and chairs will be waiting for you in your booth space.

  • Electrical access will only be available if you reserve it in advance. 

    • Please bring your own extension cords and/or extra plug adaptors. You will get access to one plug, so if you need more, bring an adaptor to plug in other things.  It is possible you will share the outlet with other vendors.  

    • Please be prepared to tape down your cord so visitors don’t trip. Painters tape is preferred to avoid damaging the gym floor.

  • Tables, chairs, and electrical access can be reserved through our Shop.

    • This is a separate process from registration.

    • If you have not reserved these items in advance, please do not expect that we can accommodate you the day of the event. 

Fire Safety

  • ABSOLUTELY NO USE OF HOT PLATES OR OPEN FLAMES WITHOUT PRIOR AUTHORIZATION. THE SCHOOLS FIRE SAFETY SYSTEM IS VERY SENSITIVE. YOU WILL BE HELD LIABLE FOR ANY VIOLATION CAUSING A FIRE SAFETY EMERGENCY.

Service Animals

  • We welcome all service animals . Please note only service animals are permissible in accordance with School District, State, Federal and local laws are permitted.
